Sharing & Collaboration

Outliner supports real-time collaboration via iCloud sharing.

Sharing an Outline

  1. Open the outline you want to share.
  2. Tap the Share button (person icon) in the toolbar.
  3. Use the system share sheet to invite people by email or iCloud link.
  4. Set permissions: Can Edit or Can View.

Viewing Shared Outlines

Outlines shared with you appear in the Shared section of the sidebar. A person icon on an outline indicates it is shared.

Read-Only Outlines

If you were given view-only access, the outline header shows a lock icon labeled Shared by [Name] (the owner's name, email, or phone number) — or Read Only if the owner's identity can't be determined — and editing is disabled. You can still browse all content, search. 

Accepting a Share Invitation

  • iOS/iPadOS: tap the share link in Mail or Messages; the app opens and accepts automatically.
  • macOS: the AppDelegate handles the CloudKit share acceptance when you click the link.

Unseen Changes

A badge on a shared outline in the sidebar indicates that other collaborators have made changes since you last viewed it.
